Process Automation

Automation is not replacing people with robots. It's eliminating steps that shouldn't exist and accelerating those that should.

Discuss Your Setup

Process automation is one of the most overrated and simultaneously most underrated things in enterprise.

Overrated — because companies buy BPM platforms for hundreds of thousands and expect processes to magically improve. Underrated — because a properly automated process saves thousands of man-hours per year.

The difference between success and failure is in the sequence. First you need to understand how the process works now, remove unnecessary steps, and only then automate. Automating a bad process is fast-tracking the production of garbage.

How It Should Work

Every business process is formalized, measurable, and transparent. The document route is determined by rules, not habits. Escalation triggers automatically. Process participants see their tasks and deadlines. Management sees bottlenecks.

BPM engine for process management
No-code workflow builder
Electronic forms and requests
Routing and approval rules
Escalation and SLA control
Mobile approvals
Process dashboard for management
Integration with ERP/CRM/document management
Process analytics: cycle time, bottlenecks

Где обычно все ломается

01
Document approvals take days — nobody knows where it's stuck
02
Processes not formalized — everyone does it their own way
03
No escalation — overdue tasks accumulate unnoticed
04
Paper workflow runs in parallel with electronic
05
Approval routes are excessive — 7 signatures for a standard request
06
No process metrics — impossible to know what to improve
07
Process exceptions are the rule, not the exception

What This Leads To

Clients wait days and weeks instead of hours
Employees spend time on bureaucracy, not work
Impossible to scale operations without proportional headcount growth
Manual process errors lead to financial losses
Audit is impossible — no trail of who approved what and when

How I Approach the Challenge

I take a specific process and walk it from start to finish: how many steps, how many participants, how long each stage takes, where documents sit and wait. I measure cycle time (total time) and work time (actual work time). The difference is waste that can be eliminated.

How We Work

My Role

Map processes, identify waste and bottlenecks, design the target process, define routing and escalation rules, oversee implementation.

Team Role

The team configures the BPM engine, develops forms and interfaces, integrates with existing systems, trains users, supports the pilot.

Key Considerations for Implementation

🔎 Automating a bad process accelerates the production of garbage
🔎 Optimization first, automation second
🔎 Every process must have an owner — without accountability nothing works
🔎 Escalation is mandatory. Without it, overdue tasks accumulate silently
🔎 Process metrics are not optional. Without them, you can't prove impact

What Results to Expect

Approval time reduced 3–5×
Transparency: everyone sees the status of their tasks
Automatic escalation of overdue tasks
Full audit trail: who approved what and when
Process metrics for continuous improvement

Frequently Asked Questions

Which processes to start with?
The most painful and frequent ones. Usually these are payment approvals, procurement requests, client complaint handling. One pilot process — 2–4 weeks to results.
Is a specialized BPM engine required?
Depends on scale. For 5–10 processes, built-in workflows in existing systems may suffice. For 50+ processes — a dedicated BPM platform (Camunda, Activiti) is needed.
